How to create your rota

  1. Enter member names in the order they should take turns. Use Add member or Remove to edit the team, up to 50 members. Each member needs a name. Use Remove to take someone out of the rota.
  2. Choose how many people are needed per day and which weekdays to include.
  3. Set the first and last date. The last date is included, with a maximum range of 366 days.
  4. Review the assignments and each person's total. Jump to a date or filter by person to find duties faster. On a phone, move between weeks.
  5. Save on this device, share the settings, print the complete rota or download calendar and CSV files.

How it works

The queue starts with the first name. Each scheduled day takes the next required number of people, continuing from the previous assignment and returning to the first name after the last.

Unused weekdays do not advance the queue. A person appears at most once per day. Starting a new rota starts the queue again; the tool does not carry assignments across separate plans.

Each person receives either the same number of assignments or a difference of one across the selected range. This counts assignments, not hours, workload, qualifications or availability.

This rota does not account for absence, holidays, shift swaps or workplace requirements. Check it with your employer or HR team before using it.

Worked example

With Ana, Ben, Cal and Dee, one person per weekday, starting Monday, 4 January 2027, the rota assigns Monday Ana, Tuesday Ben, Wednesday Cal, Thursday Dee, Friday Ana and Monday, 11 January Ben.

Common questions

How are duties shared?

Names take turns in the order entered. The queue advances for each assignment, so the final totals differ by no more than one assignment.

Can more than one person work each day?

Yes. Choose up to the number of names entered. Each person can appear only once on the same day.

What happens on days I do not select?

Those dates receive no assignment and do not move the queue. For a weekdays-only rota, Monday continues where Friday finished.

Can I account for leave or availability?

No. This tool follows a fixed round-robin rule. Check absence, skills and workplace requirements separately.

What do the downloads contain?

The calendar contains one all-day event for each person assigned to a date. The CSV contains Date and Person columns. Printing and downloads include the complete selected date range.

Are team names private?

Your inputs and saved settings stay on this device. If you share a link, anyone with it can read the names and assignments. Use initials or non-identifying labels if preferred.
